The Terms and Conditions below govern the agreement between you, the client, and us, Linglong Mandarin.

By booking a trip with us, you agree to be bound by them. Please read them carefully to ensure you fully understand them before booking your trip.

Booking & Payment

1. How to Book

Our 2025 China tour dates are October 9–18. To secure your spot, please complete the booking form and submit your payment using one of the following options:

  • 30% Deposit at booking + Remaining balance paid before July 20, 2025

  • Full Payment at booking

Booking closes on July 20, 2025 at 11:59 PM. Failure to pay the full amount by that date may result in cancellation of your spot without a refund. We'll send you a confirmation letter once we’ve received your payment and booking info.

Participants must be at least 18 years old to book and join the tour. If traveling with minors, you must be their legal guardian and fully responsible for their safety, conduct, and participation.

2. Payment Methods

We accept the following payment options:

  • Credit/Debit Card (via Stripe) — A 4% processing fee will be added at checkout. This fee goes directly to Stripe; we don’t keep this.

  • Bank Transfer — Recommended to avoid card processing fees. However, your bank may charge a fee for international transfers.

All prices are listed in USD. You may see a local currency option at checkout depending on your location, but the final amount is calculated based on the current USD exchange rate.

3. Cancellation Policy

We keep the group size small with limited spots available. Once your booking is confirmed (you’ve received our confirmation email), we’ll secure your spot — so we ask that you commit thoughtfully.

  • Once your booking is confirmed, the 30% deposit is non-refundable.

  • If you paid the full amount and notify us in writing to cancel before July 20, we’ll refund the portion beyond the 30% deposit.

  • After July 20, the full tour fee is non-refundable, as travel arrangements will have been finalized with our local partners.

  • No refunds will be issued for no-shows, late arrivals, or early departures.

Payment-related fees:

  • Payments made by credit/debit card will incur a 4% Stripe processing fee, which is non-refundable, as it is charged by Stripe, not us.

  • Payments made by bank transfer will be subject to a $50 USD handling fee, deducted from any eligible refund to cover wire costs.

  • No Refunds After: July 20, 2025

Changes to the Itinerary

  • We reserve the right to make adjustments to the itinerary, accommodations, or scheduled activities due to weather conditions, availability, safety concerns, or other unforeseen circumstances. When possible, any changes will be of similar standard and quality.

  • If significant changes occur, we will notify you as early as possible and do our best to offer suitable alternatives.

  • In rare cases, we may need to cancel the tour prior to departure. If this happens, you will receive a full refund of any payments made directly to us. Please note that we are not responsible for the refund of any separately purchased flights or external bookings.

  • If you choose to participate in optional activities that are not listed in the official itinerary, please note that these are not part of the tour package. Participation is entirely at your discretion, and any related costs or risks are your responsibility.

Travel Documents & Visas

  • Participants are responsible for ensuring their passport is valid for at least 6 months beyond the travel dates.

  • Please ensure all personal information you submit matches your travel documents. Any discrepancies or delays may result in booking cancellations or missed services, which are non-refundable.

  • Visa requirements vary by nationality. China currently grants visa-free entry (up to 30 days) to citizens of several countries.

  • Some travelers may also be eligible for China’s 10-day transit visa-free policy: This applies if you’re transiting through China to a third country or region, meaning:

    1. You’ll stay in China for no more than 10 days

    2. Your travel route must be: Country A → China → Country B

      (e.g., you can’t fly from the U.S. to China and return directly — but you can transit via Hong Kong or another country before flying home)

    You’re not eligible for visa-free entry if:

    1. You’re not a citizen of a visa-free country

    2. You plan to stay in China for more than 10 days

    3. You plan to fly directly back to your original country

  • If you’re not eligible for visa-free entry, you are responsible for applying for a visa in advance. We can provide an official invitation letter upon request to support your application.

  • You are also responsible for checking the latest visa requirements based on your nationality and travel plans. Consult the nearest Chinese embassy or consulate, or refer to official resources such as the Chinese Visa Application Service Center for up-to-date information.

  • Any failure to comply with entry requirements, including those related to passport, visas or health regulations, may result in denied entry or removal from the tour.

  • Any fines, penalties, or costs incurred due to your non-compliance (including incorrect or missing documentation) will be your responsibility. In such cases, standard cancellation terms apply.

Health & Safety

  • You are responsible for ensuring you are physically and medically fit to participate in this tour.

  • Please notify us in advance if you have any medical conditions, allergies, or mobility limitations. We’ll do our best to accommodate you, but please understand that not all locations may be wheelchair-accessible or equipped to support special requirements.

  • If you require mobility aids (such as a collapsible wheelchair), you’ll need to bring your own and inform us ahead of time.

  • If you have any pre-existing medical conditions that may impact your participation or affect others, you must disclose this when booking. In some cases, we may request a medical clearance form from your doctor.

  • If you fail to disclose relevant health information that impacts the tour, we reserve the right to cancel your participation and apply our standard cancellation policy.

  • For safety reasons, we’re unable to accommodate travelers who will be 6 months or more pregnant at the time of the tour.

  • You’re responsible for understanding any health and vaccination requirements related to international travel and for checking official travel advice for your destination.

Travel Insurance

Travel insurance is required for all participants. You must arrange coverage prior to departure for the full duration of your trip. Proof of insurance may be requested before your trip begins.

Your policy should include coverage for:

  • Trip cancellations or interruptions

  • Lost, stolen, or damaged baggage

  • Flight delays and missed connections

  • Medical treatment and hospitalization

  • Emergency evacuation or repatriation

We are not liable for any financial loss, injury, or hardship resulting from insufficient or missing insurance coverage. This includes, but is not limited to:

  1. Lost or stolen luggage, travel documents, cash, or valuables

  2. Credit card or bank fraud

  3. Accidents on land, water, or in the air

  4. Illness, injury, or death

  5. Travel delays, cancellations, or itinerary changes beyond our control

  6. Acts of terrorism or political unrest

  7. Natural disasters or extreme weather

  8. Any other events beyond the control of Linglong Mandarin and its travel service partners.

Your safety and peace of mind are our top priorities. Please ensure you’re properly protected before your journey begins.

Packing & Luggage

Our tour includes a domestic flight, and Chinese domestic airlines typically enforce stricter baggage limits than international carriers. Standard domestic allowances are:

  • 🧳 Checked baggage: 20 kg (44 lbs), with dimensions not exceeding 100 cm x 60 cm x 40 cm

  • 🧳 Carry-on baggage: 1 piece up to 5 kg (11 lbs), with dimensions not exceeding 55 cm x 40 cm x 20 cm

  • 🎒 Personal item: In addition to your carry-on, you may bring one small personal item that fits under the seat in front of you (e.g. a handbag, laptop bag)

If your luggage exceeds these limits, excess baggage fees may apply. You are responsible for any overweight or extra baggage charges.

Liability Disclaimer

Linglong Mandarin and its operating partner, Tang Dynasty Travel Ltd., act only as coordinators for the services included in your tour, such as accommodations, transportation, guides, and meals. These services are provided by independent third-party suppliers who are not employees or agents of Linglong Mandarin. We are not responsible for their acts, omissions, or failure to perform.

By booking this tour, you agree to hold Linglong Mandarin and its representatives harmless for any injury, loss, accident, delay, or inconvenience arising from:

  • Acts of God, natural disasters, or extreme weather

  • Strikes, civil unrest, or government actions

  • Delays or changes in transportation or accommodation beyond our control

  • Theft, loss, or damage to personal belongings

  • Your failure to comply with visa, customs, or immigration requirements

  • Personal health issues or pre-existing medical conditions

  • Acts or negligence of third-party service providers

  • Criminal offenses committed by you under the laws of the destination country

You are also responsible for evaluating your own fitness to participate in this tour. Please refer to the Health & Safety section for more details on physical activity and risk.

We reserve the right to modify the itinerary, accommodations, or activities due to unforeseen circumstances. For more details, please refer to the Changes to the Itinerary section.

To the fullest extent permitted by law, our liability for any claim shall be limited to the total amount you paid for the tour. We are not liable for any indirect, incidental, or consequential damages.

By booking this tour, you acknowledge and accept these limitations of liability.

Force Majeure

We cannot accept liability or offer compensation for events beyond our control that may impact the tour. These may include, but are not limited to: war or threat of war, civil unrest, strikes or labor disputes, terrorism, natural or nuclear disasters, fires, extreme weather, public health emergencies (such as pandemics), transportation disruptions, or closure of airports, ports, or borders.

In such cases, we will make every effort to adjust plans where possible, but delays, changes, or cancellations may occur without refund.

Code of Conduct

To ensure a safe, respectful, and enjoyable experience for all participants, we ask that you:

  • Treat fellow travelers, guides, and local communities with courtesy and respect

  • Follow all instructions from guides or staff during activities and transit

  • Refrain from behavior that is disruptive, disrespectful, or unsafe

  • Comply with all local laws and customs at each destination

We reserve the right to remove any participant from the tour without refund if their behavior endangers others, causes significant disruption, or violates the terms of this agreement. In such cases, we are not responsible for covering additional expenses, offering compensation, or arranging your return.

You are also responsible for any damage or loss caused by your actions during the tour. Immediate payment may be required either directly to the affected party or as estimated by us. If post-trip assessment leads to further claims or legal fees, you will be held liable.

Media Release

During the tour, photos and videos may be taken by our team or fellow travelers to document and share the experience. By joining the tour, you grant Linglong Mandarin and its partners a perpetual, royalty-free, worldwide license to use any images or footage that include you for promotional, educational, or marketing purposes in both print and digital media.

If you prefer not to appear in such media, please notify us in writing before the tour begins. We will make reasonable efforts to honor your request, though complete avoidance of group images in public settings may not be guaranteed.

Privacy Policy

To organize and deliver your tour, we collect certain personal information, including your name, contact details, passport information, dietary needs, emergency contacts, and other relevant travel preferences.

We collect this information when you submit forms, complete bookings, or communicate with us by email or online. Your data is used to:

  • Make travel arrangements such as hotel and activity bookings

  • Address dietary, health, or accessibility needs

  • Ensure your safety and provide a smooth travel experience

  • Improve our services and respond to feedback

  • Share important trip updates or communication related to your booking

Your information may be shared with trusted third-party service providers (such as hotels, guides, or visa support partners) only as needed to deliver the trip. It will never be sold or shared for unrelated marketing purposes.

All personal data is stored securely, and access is limited to authorized team members. If you provide us with information about others in your group, please ensure they are aware of and consent to this policy.

Complaints & Claims

We do our best to deliver a smooth and memorable experience. If you encounter any issues during the tour, please notify your guide or a team member as soon as possible so we can address the situation on the spot.

If your concern remains unresolved, you may submit a formal complaint to hi@linglongmandarin.com within 15 days of the tour’s end. Please include:

  • Your full name and booking details

  • A clear description of the issue

  • Any supporting documentation (e.g. photos, receipts)

We aim to respond within 7 business days. While we review all claims in good faith, please note that dissatisfaction due to personal preferences, weather, or situations beyond our control does not guarantee compensation. Claims submitted after the 15-day period will not be accepted.

Our Commitment

We aim to provide clear information, responsive support, and a smooth travel experience from booking through the completion of your tour. If something doesn’t go as planned, we’re here to help — and we welcome your feedback as we continuously improve our services.

Agreement & Acceptance

By submitting your booking and payment, you confirm that you have read, understood, and agreed to all of the terms and conditions outlined above. These terms form a binding agreement between you (the participant) and Linglong Mandarin Limited.
